Tieto Education Services provides an efficient, time-saving digital school solution for teachers, parents, guardians, and students.

Product: Edlevo by Tietoevry is a complete school management system that offers user-friendly and innovative solutions for administrators, teachers, school management, students, and guardians. Edlevo's smart functions simplify everyday life and enable its users to work effectively with all aspects of school organization, from scheduling and the learning environment to registering grades and communicating with guardians and students. It is all in the same system that caters to all school levels, from preschool to adult education.

My Role: Lead User Experience Design Lead

 

Goals - Business, Product and Content Design

  • Business Goals:

    • Enable guardians, students, and school staff to easily communicate for real-time educational updates.

    • Gather insights to address customer pain points and identify UX enhancement opportunities.

  • Product Design Goals

    • Create an intuitive multi-user interface with role-specific views and functionalities that are easy to navigate for guardians, students, and school staff.

    • Implement a real-time notification system that ensures timely delivery of updates through push notifications, in-app alerts, or other preferred channels.

    • Design flexible communication channels that provide various communication options (e.g., direct messaging, group chats, announcement boards) to suit different needs and preferences.

    • Develop user-friendly feedback mechanisms incorporating easy-to-use tools for users to report issues, suggest improvements, or provide general feedback about their experience.

  • Content Design Goals

    • Craft clear, role-specific messaging by tailoring content and tone for each user group (guardians, students, staff) to ensure relevance and clarity.

    • Develop concise educational update templates to ensure consistency and ease of understanding.

    • Create accessible help content through clear, easily navigable support documentation and FAQs to assist users in using the platform effectively.​

Approach - The end-to-end design process is outlined below.

Research

  • Designed and conducted user studies to understand pain points, user goals, and the expected experience of target users. 

  • Performed desk research, product walkthroughs, and workflow analysis to understand the domain and product.

  • Identified areas for design intervention and defined remedial strategy (short and long-term).

  • Analyzed publicly available product feedback.

  • Conducted heuristic review to create a list of existing problems.

  • Presented review findings to development and product teams.

Strategy 

  • Collaborate with stakeholders to understand product vision and goals.

  • Analyzed and studied business specification documents to understand the bigger picture and the ecosystem.

  • Collaborated with product owners and business analysts to refine and groom user stories to create a UX roadmap. 

  • Led the design function across six agile scrum teams by partnering with Product Management and Engineering in an agile environment.

Design - Product and Content Design

  • Led the design function by partnering with Product Management and Development teams in India and Nordics. Mentored junior designers and developers on user-centered design. Facilitated stakeholder workshops to refine product roadmap.

  • Conducted UX audit to - Identify usability issues, evaluate information architecture, assess content effectiveness, and prioritize improvements to support data-driven decisions.

  • Created paper sketches and low and high-fidelity mockups, conducted design walkthroughs, and supported the development teams.

  • Review completed designs and discuss future iterations.

  • Collaborated closely within and across cross-functional teams to produce engaging content that explains EdTech products accurately and persuasively.

  • Ensured all Edlevo content was on-brand, compelling, visually appealing, and optimized for intended audiences (localization included) and channels. Maintain brand and editorial guidelines.​

Accessibility WCAG 2.1 Compliance 

  • Included accessibility in initial requirements and project planning.

  • Advised teams on implementing accessible design solutions and WCAG 2.1 compliance.

  • Created accessibility documentation and training materials.

  • Presented recommendations to stakeholders and championed accessibility initiatives.

  • Reviewed designs together with development teams using accessibility tools and patterns.

  • Tracked and reported on accessibility metrics and compliance.

  • Shared insights from accessibility testing with stakeholders.

Impact

  • Reduced support costs by 15% by addressing inefficiencies in Tieto’s education solution.

Activities & Outcome

Three-Stage Review 

The review followed a three-stage process. First, usability issues and heuristic violations were identified in the current application. Second, gaps in flows and functionality were pinpointed. Findings from stages one and two were documented by category. Third, recommendations were provided based on the findings, identifying technical debt, UX debt, and potential new features. After each stage, findings were presented to product management to update the roadmap accordingly.

Documenting user flows

User flows were created based on functionality defined by product management. This enabled: (1) Comparison of the existing application to the intended workflow. (2) Identifying gaps resulted in (a) correcting flows through enhancements and (b) emerging new features.

  • Developed user flows using Adobe XD to map intended workflows

  • Identified design and functionality gaps during demos and provided solutions

  • Pinpointed user pain points and highlighted enhancement opportunities

  • Provided short and long-term design recommendations and fixes

  • Conducted UI reviews of implemented designs to catch bugs and gaps

  • Presented enhancements and solutions to the product team to refine the roadmap

 

Note: I cannot share specifics of my work due to an NDA with the organization. The sketches, flows, and rough UI represent the process followed and the artifacts created.

Other activities

In addition to product deliverables, I facilitated a stakeholder workshop that generated new feature ideas, led design sprints, and proposed and spearheaded the design of a design system. You can read about the workshop here.
